01Scope and our two roles
This Privacy Policy explains how Beta Bots LLC (d/b/a Ad Loop) ("Ad Loop," "we," "us") collects, uses, and shares personal information in connection with our websites, dashboards, and Services. It does not apply to the third-party services you connect (such as the Ad Platforms), which have their own policies.
We act in two distinct roles, and it matters which applies:
- Controller — for the personal information of our own account holders (the businesses that subscribe), their authorized users, and visitors to our marketing site. We decide how that information is handled, as described here.
- Processor / service provider — for the Leads and end-user information we handle on your behalf when you use the Services (for example, people who submit a form, call your tracking number, or visit your Marketing Site). For that information, you (the Customer) are the controller and decide the purposes; we process it under your instructions and the agreement between us.
If you are an individual who submitted a lead, called, or interacted with a business that uses Ad Loop, that business — not Ad Loop — is the controller of your information. Please direct privacy requests to that business; we will assist it as its service provider.
02Information we collect
Information you give us (as a Customer):
- account and identity details (name, email, business name, role) used for sign-in and account management;
- billing information processed by our payment processor (we receive limited details such as the last four digits and status; we do not store full card numbers);
- your business brief, content, assets, and preferences; and
- communications with us, including via Slack and support.
Information from your connected accounts and the Services:
- advertising performance and configuration data from the Ad Platforms you connect;
- Leads and related records — names, emails, phone numbers, form responses, and, where enabled, call recordings and message content — captured through the Services on your behalf;
- site and analytics data from your Marketing Site; and
- usage, device, and log data (such as IP address, browser type, pages viewed, and timestamps) when you use our dashboards and site.
03How we use information
As controller of Customer and site-visitor information, we use it to: provide, operate, secure, and improve the Services; set up and manage accounts and billing; build and deploy your Marketing Site; run and optimize advertising you authorize; communicate with you, including reports and service messages; provide support; detect and prevent fraud, abuse, and security incidents; and comply with law.
As processor of Leads and end-user information, we use it only to provide the Services to you and as you instruct — for example, to capture, score, store, route, and (where you enable it) contact Leads — and as required by law. We do not sell it and do not use it for our own independent purposes.
04Automated processing and AI
The Services use automated systems and third-party AI models to generate content, analyze performance, and propose or apply advertising changes. We provide business inputs (such as your brief and performance data) to these models to produce the Services' output. We do not use them to make decisions producing legal or similarly significant effects about individual consumers.
07Calls, recordings, and messaging
Where the Services provision a tracking number, calls may be recorded with a disclosure at the start of the call, and call details and recordings are stored as Leads on your behalf. Where you enable messaging, texts are sent to Leads at your direction with opt-out handling. Consent for these communications and recordings, and compliance with applicable law (including the TCPA and state recording laws), is the responsibility of the Customer directing the communications, as described in the Terms.
08Data retention
We retain personal information for as long as needed to provide the Services, maintain your account, comply with legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. Leads and end-user information are retained on your behalf while you use the Services and are handled on termination as described in the Terms; after that, we may delete or de-identify them in the ordinary course, subject to law.
09Security
We use administrative, technical, and organizational measures designed to protect personal information, including encryption of sensitive credentials at rest and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for safeguarding your own account credentials and connected accounts.
10Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, port, or restrict the processing of your personal information, to object to certain processing, and to withdraw consent. Residents of California and certain other U.S. states may have rights to know, delete, and correct personal information, and to opt out of "sale" or "sharing" and certain targeted advertising.
We do not sell personal information and do not "share" it for cross-context behavioral advertising as those terms are defined by applicable law. We will not discriminate against you for exercising your rights.
To exercise rights regarding information we hold as controller, contact us at admin@adloophq.com. We will verify your request as required by law. If your request concerns Leads or end-user information we process on behalf of a Customer, please contact that business (the controller); we will assist it as its service provider.
11International data transfers
We and our sub-processors may process information in the United States and other countries whose laws may differ from yours. Where required, we use appropriate safeguards for cross-border transfers. By using the Services, you understand your information may be processed in these locations.
12Children's privacy
The Services are for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 18 through our own account relationship. If you believe a child has provided information to us, contact us and we will take appropriate steps.
13Changes to this Policy
We may update this Policy from time to time. When we make material changes, we will post the updated Policy with a new date and, where appropriate, provide additional notice. Your continued use of the Services after the changes take effect constitutes acceptance.
